An organisation account lets you buy courses for your team, assign them and follow
progress. It's separate from any personal account, so use a different email address,
such as your work email.

## Who can create one

You need to be 18 or over and live in Ireland, Spain, the United States or Australia.
You become the organisation's administrator.

## Create your organisation

1. Select **Get started**, then choose **Organisation** at the top of the form.
2. Choose your country and enter your date of birth.
3. Enter your name, the **Organisation name**, and choose **Business** or **Education**
   (for education, also choose the type).
4. Enter your work email and a password, then select **Create organisation account**.
5. Type the 8-digit code we email you and select **Verify email**.
6. On **Set up your organisation**, read and accept the
   [Organisation Terms](/organisation-terms), then select **Create organisation**.

Your organisation's **Dashboard** opens straight away.

Create an organisation account

Organisation checkout is available to authorised adult managers in Ireland, Spain, the United States and Australia. United Kingdom organisation registration, paid-course access
and checkout remain disabled until a separate UK release. Buying 20 seats
creates 20 assignable licences; assigning a learner claims an already-paid seat and
does not create another card charge.

## Purchase seats

1. Open **Organisation → Explore** and choose a paid public course.
2. Select **Buy seats** or **Buy more seats**.
3. Enter a quantity from 1 to 1,000.
4. Review the unit price, total, currency, and AI balance included per learner.
5. Complete Stripe Checkout.

After Checkout, Stripe returns you to **Organisation → Library**. The confirmation
message shows how many seats are ready, and each paid course displays its live
inventory as **Purchased**, **Assigned**, and **Available**. Use that inventory as
the source of truth before assigning another learner.

The order keeps the paid amount, seat quantity, and per-seat balance even if the
public offer later changes.

## Assign and release seats

Add the purchased course to a learner through your existing team assignment flow.
Each assignment claims one available seat and creates an individual course AI balance.
If no seat remains, buy more seats before creating another assignment.

For new purchases, you can reassign a seat before the learner starts. The first saved learning activity or successful AI reservation locks it to that learner. Simply purchasing or assigning a seat does not start it.

Removing a started assignment suspends access but keeps the seat reserved for that learner. It is not Available to someone else. Assigning the course to the original learner again restores that seat and its remaining balance before using a fresh seat. Reassignment never replenishes AI balance.

Earlier orders and checkout sessions created before this policy retain their original terms. Their seat-release behaviour may differ.

If Checkout remains on **Confirming payment**, wait a few seconds and refresh the
Library. Do not pay again until the existing Checkout Session is shown as expired or
failed; successful fulfilment is driven by Stripe's signed webhook and is safe to
retry.

## Internal and free courses

An internal Organisation course can create a finite per-assignment AI balance configured
for the organisation. A free public course uses its configured included balance.
These balances are still individual rather than a shared employee token pot.

## Refunds

Organisation purchases are reviewed case by case and do not carry the individual-course 30-day voluntary guarantee. Statutory rights remain unaffected. Submit requests through [Contact](/contact?topic=refund) with the order reference.

A full refund reported by Stripe marks that order's seats as refunded and removes
assignments currently using them. Seats from other active orders for the same course
remain available. Partial refunds require support reconciliation and do not
automatically change seats or access.

Buy course licences and assign them to a team

Organisation access uses three roles and two optional capabilities. An Admin can set
them when inviting a member or by opening the member's access settings in **Organisation**
> **Team**.

## Adding members

Invite each member at the email address they will use for work. An email that
already has a personal Discentik account cannot join an organisation, so invite a
different address for that person. Discentik does not tell you whether an email
already has an account.

The member opens the invitation, verifies their email, then sets a password and
enters their country and date of birth before joining. Every member still needs age
and residence eligibility; an organisation invitation establishes membership, not
permission to bypass it. Real organisation learning and reporting also require
approved processing agreements and instructions.

Existing active members use their usual roles and capabilities. Suspension and
organisation deactivation still prevent access. Importing or changing a team does
not bypass identity verification, invitation requirements or membership checks.

## Choose a role

People aged 16–17 may hold learner access only; they cannot receive Content Author,
Learning Manager, Group Admin, Admin, finance or seller permissions. Under-16 and
school/pupil-data processing remain outside this release. Being an adult teacher or
Admin does not authorise pupil processing. In any future
approved school programme, staff can access only assigned learners and the
necessary work or results, not entire private conversation histories. Ask the school
to explain its staff access and safeguarding contacts. Parental or representative
access must be assessed separately, not assumed from the relationship. See the

- **User** learns through assigned courses. A User has no management or authoring
  access unless an optional capability is enabled.
- **Group Admin** manages learning and reporting only for the groups assigned to
  them. Every Group Admin must have at least one group.
- **Admin** manages the whole organisation, including team access, learning,
  reporting, organisation courses, and approvals. Only the organisation Owner can
  grant or remove Admin access.

## Add an optional capability

- **Learning Manager** lets a User curate the organisation library, assign learning,
  and view organisation-wide reporting. It does not allow team administration or
  course authoring.
- **Content Author** lets a User or Group Admin create and edit organisation-owned
  courses. It does not allow team administration or course approval.

Admin access already includes both capabilities, so the interface does not show
redundant capability switches for an Admin.

## Accept an organisation invitation

The invited member first requests a secure verification link from the invitation
page. After opening that link in the invited mailbox, they return to the invitation,
set a new password, enter their country and date of birth, and accept. A normal
password session cannot consume the link.

The organisation role, optional capabilities, membership, selected groups, delegated
Group Admin access, invitation consumption, and audit record are applied together. If
any part fails, the invitation remains pending and no partial membership is created.
An account that is already active in another organisation cannot consume the link;
use the existing organisation access or ask an Admin for help before retrying.

## Deactivate or reactivate a member

Deactivation immediately removes organisation data, authoring, learning-management,
AI, and API access, including access from a session that was already open. The member
and their learning history remain recorded. Reactivation restores only the access
allowed by the member's current role, capabilities, groups, and assignments. A
separate Platform suspension must be reviewed by a Discentik Platform Admin.

## Import access from CSV

The team CSV template accepts `role`, `group_admin_for`, `learning_manager`, and
`content_author`. Use `true` or `false` for the capability columns.

## Transfer organisation ownership

Only the current active Owner can transfer ownership, and the recipient must be an
active member of the same organisation.

1. Open **Organisation** > **Team**.
2. Open the member's actions menu and select **Transfer ownership**.
3. Send the verification code to the current Owner's verified email.
4. Enter the six-digit code within ten minutes and confirm the transfer.

The selected member becomes an Admin and the new Owner; the previous Owner remains an
Admin. The database verifies the exact member and challenge, changes both roles,
revokes both owners' sessions, and writes the team audit event in one transaction. If
email delivery fails, the challenge is cancelled. Both owners must sign in again after
the transfer.

reusable audience for assignments and let Group Admins work only with the learners
they are authorised to manage.

Only organisation Admins can create, rename or delete groups. Admins manage group membership; Group Admins can also manage members when that permission is explicitly delegated for their groups. Learning Managers can assign courses to existing groups and review learning progress. If no groups exist, ask an Admin to create one.

On desktop pages with a second navigation rail, the automatic sidebar stays expanded so both sets of links remain accessible. You can still choose the collapsed sidebar setting.

Only organisation Admins can change automatic assignment for new group members. Other authorised managers can view whether it is on or off.

## Assignments during early access

Manage groups and assignments

An Organisation account is dedicated to one organisation. Its learning, course authoring,
and permissions are kept separate from personal learning and personal Instructor
activity.

## Organisation access during pre-release

Open [Organisations](/organisations) to request access for a **new organisation**.
Provide its name and choose **Business** or **Education**. Education applicants also
choose **School**, **College or University**, or **Training provider**. Confirm your
email so Discentik can review the request. An application does not create an account
or grant access: an administrator reviews the details and sends an approved invitation.

To join an **existing organisation**, ask its administrator for an invitation using
a separate email address. A valid organisation invitation lets you complete account
creation while public self-sign-up is closed; no separate early-access approval is
required. The invitation fixes the organisation and your assigned role; do not submit
a new-organisation request to join an existing team.

To accept, open the invitation and verify your email with the link sent to you.
Then set a password and enter your country and date of birth; they are kept private
and checked like any other account's. Under-16s cannot join.

When accepting approved access, check the organisation details shown. You will see
an early-access notice before account creation. The persistent early-access banner
provides links to report issues or give feedback.

Active members learn through assigned courses. Authorised organisation managers
can add eligible free courses and buy course licences through **Organisation → Explore**.
The Library shows purchased, assigned and available licences. Managers can assign
eligible organisation-owned and acquired courses subject to the usual permissions
and available licences.

## Learning with an Organisation account

**My Learning** shows only courses assigned to you by your organisation. Personal
course purchases and personal library entries are not shown in an Organisation account.

Members with learning-management access can use **Explore** and course search in the
navigation to open the Organisation catalogue and course details. These controls do
not send you to personal acquisition. Members without that access should contact their
learning manager for assignments; a shared course-detail link may still offer
**Request from organisation**. Personal **Explore courses** actions are not shown in
My Learning or its completion summary.

## Creating courses for an organisation

Organisation accounts do not have a personal Instructor workspace. An organisation Admin
can grant **Content Author** access to a member who needs to create courses. Content
Authors open **Organisation**, then **Courses**, and every course they create is owned by
the organisation rather than the individual author.

**Content Author** is independent from **Learning Manager** access. A Content Author
can create and manage organisation courses without receiving permission to assign
courses or review team learning.

Course visibility and review controls remain part of the Organisation publishing
workflow. Publishing an organisation course never converts it into a personal course.

## Keep personal activity in a personal account

Personal accounts cannot be converted into Organisation accounts, including through an
organisation invitation. Keep your existing personal account for your learning
progress, purchases, and personal Instructor courses.

## Create or join an organisation with a separate account

1. Keep your current personal account and email address unchanged.
2. To create a new organisation, sign out and follow
   [Create an organisation account](/help/businesses/create-an-organisation-account),
   using a different email address, such as your work email.
3. To join an existing organisation, ask its Admin to send an invitation to a different
   email address that is not already registered. Open that invitation and follow its
   secure verification steps; do not create a personal account for that address first.
4. Sign in with your personal email for personal learning and Instructor, or your
   Organisation email for organisation activity.

An older invitation cannot convert your personal account. Ask the Admin for a new
invitation to a different email address. Your personal courses and progress stay
with your personal account; they are not transferred to the organisation.

## Wording for your organisation

Organisation is the shared workspace name for businesses and education providers.
Saved organisation type adapts guidance to workplace teams, teaching within an
institution, or training programmes and learner cohorts. Role names, permissions,
course licences and AI-credit rules stay the same across organisation types.

Keep personal activity in a personal account

Understand Organisation account boundaries

Open **Organisation** > **Analytics** to review the learners and courses within your
authorised scope. Organisation Admins and Learning Managers can see organisation-wide
learning; Group Admins see only their assigned groups.

Use completion and activity measures to identify follow-up needs, not to infer intent
or employee performance on their own. A low completion rate may reflect a recent
assignment, an approaching deadline, access friction, or a course-design problem.
