Manage team access
Assign organisation roles and capabilities without giving members more access than they need.

Organisation access uses three roles and two optional capabilities. An Admin can set
them when inviting a member or by opening the member's access settings in Business
Team.
Choose a role
User learns through assigned courses. A User has no management or authoring
access unless an optional capability is enabled.Group Admin manages learning and reporting only for the groups assigned to
them. Every Group Admin must have at least one group.Admin manages the whole organisation, including team access, learning,
reporting, organisation courses, and approvals. Only the organisation Owner can
grant or remove Admin access.
Add an optional capability
Learning Manager lets a User curate the organisation library, assign learning,
and view organisation-wide reporting. It does not allow team administration or
course authoring.Content Author lets a User or Group Admin create and edit organisation-owned
courses. It does not allow team administration or course approval.
Admin access already includes both capabilities, so the interface does not show
redundant capability switches for an Admin.
Accept an organisation invitation
The invited member first requests a secure verification link from the invitation
page. After opening that link in the invited mailbox, they return to the invitation,
set a new password, and accept. A normal password session cannot consume the link.
The organisation role, optional capabilities, membership, selected groups, delegated
Group Admin access, invitation consumption, and audit record are applied together. If
any part fails, the invitation remains pending and no partial membership is created.
An account that is already active in another organisation cannot consume the link;
use the existing organisation access or ask an Admin for help before retrying.
Deactivate or reactivate a member
Deactivation immediately removes organisation data, authoring, learning-management,
AI, and API access, including access from a session that was already open. The member
and their learning history remain recorded. Reactivation restores only the access
allowed by the member's current role, capabilities, groups, and assignments. A
separate Platform suspension must be reviewed by a Discentik Platform Admin.
Import access from CSV
The team CSV template accepts role, group_admin_for, learning_manager, andcontent_author. Use true or false for the capability columns.
Transfer organisation ownership
Only the current active Owner can transfer ownership, and the recipient must be an
active member of the same organisation.
Open Business > Team.
Open the member's actions menu and select Transfer ownership.
Send the verification code to the current Owner's verified email.
Enter the six-digit code within ten minutes and confirm the transfer.
The selected member becomes an Admin and the new Owner; the previous Owner remains an
Admin. The database verifies the exact member and challenge, changes both roles,
revokes both owners' sessions, and writes the team audit event in one transaction. If
email delivery fails, the challenge is cancelled. Both owners must sign in again after
the transfer.
